Intent to Apply (aka Pre-Application, Eligibility Quiz, etc.)

The Intent to Apply page is an optional pre-application step that streamlines the granting process. It allows for gauging interest, pre-qualifying applicants via eligibility quizzes, and gathering initial data before the full grant application opens.

This tutorial video explains how to set up an "Intent to Apply" page that serves as a pre-application or eligibility quiz for grant programs. The video covers: Navigation: Accessing the Grant Editor and Cycle Pages to add a new page. ⚙️ Enable the Intent to Apply Feature

  1. Go to the Grant Editor tab → Program Cycles subtab.

  2. Click Applicant Access & Dates.

  3. Select Yes for Offer Intent to Apply.

  4. Set a deadline for the Intent to Apply.

  5. Click Save Changes.

⚠️ Alert: If the option to add an Intent to Apply page is missing, the feature may be inactive for the site. Contact the GO Smart team to enable this functionality.

📝 Note: The application open date will also be the Intent to Apply's open date.


Create the Intent to Apply Page

  1. Go to the Grant Editor tab → Cycle Pages subtab.

  2. Select the Program and Cycle from the dropdown menus.

  3. Scroll to the Add New Page section.

  4. Select Intent to Apply from the Type dropdown.

  5. Enter a title for the page as it should appear in the applicant's table of contents.

  6. Click Add.

⚠️ Alert: You can add only one Intent to Apply page per cycle.

💡 Tip: If the Page Templates feature is enabled, insert an existing Intent to Apply page template by selecting "Intent to Apply" as the page type and then choosing the desired template from the templates dropdown.


🎨 Design and Configure the Page

  1. Click the blue ✏️ (pencil icon) next to the purple Intent to Apply page in the page table.

  2. Enter custom directive language in the Info/Instruction text field.

  3. Scroll down and select the desired question types to include.

  4. Click Edit next to each question to customize it.

  5. Configure the Rules section to determine page behavior.

    1. Choose a PDF Option: This setting determines whether the Intent to Apply appears in the view-only PDF of the main application or in its own separate PDF.

    2. Choose application flow: This setting determines if manual approval is required before applicants can access the main grant application.

    3. Choose intent population: This setting determines whether the Intent to Apply is added to the main application as a modifiable first page, or remains separate and non-editable after the Intent to Apply phase ends.

  6. Click Preview Page to view the interface as an applicant.

🔄 Status Effects and Workflow

Including an Intent to Apply changes how cycle statuses are managed. Manual status updates are required to ensure the system correctly grants application access during specific workflows.

Manual Approval Workflow

To move an applicant forward who has saved data but not clicked "Submit":

  1. Change the status from Intent to Apply Started/In Progress/Incomplete to Intent to Apply Received.

  2. Click Update.

  3. Change the status to Intent to Apply Approved.

  4. Click Update.

📝 Notes:

  • Moving a status temporarily to Intent to Apply Received indicates to the system that the applicant has completed the required workflow.

  • All eligible applications need to be moved to the Intent to Apply Approved status at least momentarily in order to access the main Application.

📆 Handling Deadline Exceptions

To grant access after a deadline has passed:

  1. Change the status to Intent to Apply Started.

  2. Click Update.

  3. Change the status to Exception.

  4. Click Update.
