Create Your First Grant Application

Understand Cycle Settings

Control all the settings for your application at the Grant Editor tab → Program Cycles tab. Understand each part of the page to set up your grant application just right.

⚙️ 1. Configure Cycle

Set up the basic details for the grant cycle:

  • Application ID Prefix: Enter a short code (e.g., "GOS25") to go at the beginning of every application number.

  • Main Contact: Select the person in charge of the program or most likely responding to applicant questions.

  • Active Cycle Order: Pick a number to decide where this grant appears on the applicant’s list. Lower numbers (like 1 or 2) show up at the top.

  • Applications per Applicant: Set the number of applications each person can start.


🗓️ 2. Applicant Access & Dates

Adjust the cycle's dates, deadlines, and other visibility settings.

  1. Control visibility using the Display setting:

    • Show: The application will be visible to all applicants.

    • Hide: The application will be hidden from everyone.

    • Invite Only: Select Yes for the grant to be hidden unless the applicant enters a password. ⚠️ Alert: The Invite-Only password must be unique to the cycle.

  2. Select Accepted Profile Type(s) (e.g., Individuals or Organizations).

  3. Set dates and deadlines:

    • Open Application: Enter the date and time when applicants can start the application.

    • Application Deadline: Enter the last date and time to submit the application.

  4. Pick the dates and times for your Intent to Apply, Draft Reviews, and Interim/Final Reports, if you are using those features in your cycle.


💬 3. Additional Text

Add essential messages or instructions for applicants:

  • Program Description: A short note about the grant opportunity.

  • Program Message: Extra details, such as contact info or a timeline.

  • Submission Text: Appears on the submission page, right before the applicant clicks Submit.

  • Confirmation Text: Appears after an applicant successfully submits their form. We strongly suggest writing Confirmation Text for all forms. This lets applicants know for sure that their work was received.


🧬 4. Clone Tools

Once you have finished a successful cycle, you can use Clone Tools to quickly copy all your settings and content for the next year.

Notes and Alerts

⚠️ Alert: Remember to update the Application ID Prefix each year.

📝 Notes:

  • The main contact’s email is automatically used for status and mass mailers. You can change this in the status/mass mailer settings.

  • If you allow more than one application per person, the applicant will see multiple links to "Start New Application."

  • If an applicant's account type (Individual or Organization) does not match your settings, they will not be able to apply.

  • Submission and Confirmation Text is customizable for Intent to Apply, Draft Reviews, Interim Reports, and Final Reports.
