This guide explains how to invite reviewers, troubleshoot visibility issues, and run reports to track assignments and scores for your panels.

🗳️ How do I invite panelists to review?

Once you have created your panelist accounts, you must invite them to join the system. GO Smart does not send automatic emails to panelists.

  1. Email them directly: Send a personal email to your reviewers from your own work account.

  2. Give them the link: Tell them to log in at admin.gosmart.org.

  3. Provide their keys: Give them the username and password you created for them.

  4. Password Help: If they want to change their password, tell them to use the "Forgot Password" link on the login page.

💡 Tip: Panelists are busy people! Send them their login info a few days before the review period starts so they have time to test their password.


📋 Where can I see which applications or panelists are assigned to a panel?

If you need to quickly check your work, the best way is to run a Panelist Report.

  • Fast View: Follow our Panel Report Tutorial to build the file.

  • The Spreadsheet: When you open the report in Excel:

    • Tab 1: Shows you a list of every Panelist assigned to that panel.

    • Tab 2: Shows you a list of every Application assigned to that panel.


📝 Where can I see my panelist's scores and comments?

To see the results of the review process, you will need a Panelist Report.

  • What’s inside: This report will show you every score and every written comment each panelist has entered so far.


🚧 Why can't my panelists see their panel?

If a reviewer logs in and sees no panels in their dropdown or is missing a specific panel, walk through this quick checklist to find the "hiding" panel:

  • Check the Dates: Panelists can only see their work if the panel is currently Open. Go to the Panel Editor and make sure the "Open Date" is in the past and the "Close Date" is in the future.

  • Check the Applications: A panel will not display if no applications have been moved into it yet.

    • Go to your Grant Manager Dashboard.

    • Make sure the applications are in a status that allows them to be reviewed (like "Received").

    • Verify that you have actually assigned those specific applications to that panel.

  • 👤 Check the User Assignment: In the Panel Editor, double-check that the panelist's name is actually selected for that specific panel.

📝Note: Sometimes panelists have multiple accounts. Make sure they are logged into the exact account you assigned to the panel!
