๐Ÿ—๏ธ System & Hierarchy

Understand how GO Smart organizes your data.

The GO Smart Hierarchy at a Glance:

  1. Program: The "What" (The broad funding category).

  2. Cycle: The "When" (The specific year or round).

  3. Structural Content: The "How" (The actual questions and pages you are asking for).

๐Ÿ“‚ Program

The top-level organizational "folder" is used to group related funding opportunities. A Program serves as the parent category for specific cyclical offerings (e.g., "General Operating Support").

๐Ÿ”„ Cycle

A specific, time-bound instance of a grant or program. While the Program is the umbrella, the Cycle is the individual administrative packet where the work happens.

๐Ÿ“ Structural Content

The underlying framework of a cycle, including the specific pages, questions, and tables that make up the grant's architecture.

๐Ÿ‘ฅ Roles & Users

The people interacting with your portal.

๐Ÿข Agency

The organization or department providing the funding. This term is synonymous with "grantmaker," "funder," or "department."

๐Ÿ’ป Administrator

A core team member who manages the backend of the GO Smart site and oversees contract services. This role is distinct from applicant-side administrators.

๐Ÿ‘ค Applicant

An individual or organizational representative who accesses the custom portal to seek funding. These users are often referred to as "grantees" or "end users."

๐Ÿ‘ฅ Panelist

External reviewers or jurors who utilize a dedicated portal to score and comment on assigned applications.

๐Ÿ“ Forms & Data Collection

The tools used to gather information throughout the grant lifecycle.

๐Ÿ“‹ Form

An umbrella term for all data collection documents, including Applications, Intent to Apply, Reports, and Flex Forms.

๐Ÿ“‘ Application

The primary, mandatory data collection tool for any given cycle.

๐Ÿ“ Note: This is the only form required for every cycle and must be finalized before a cycle opens.

๐Ÿ“จ Intent to Apply

An optional pre-application form is used to vet eligibility or gather preliminary data before a full application is submitted.

๐Ÿ“Š Interim Report

An optional form designed to collect progress data during the middle of a funding period.

๐Ÿ Final Report

An optional form used to gather concluding data and outcomes at the end of a funding period.

๐Ÿงฉ Flex Form

A versatile, alternative form used for specialized needs that fall outside standard reporting, such as reimbursement requests or invoices.

๐ŸŸข Live Form

The active, interactive version of a form where applicants enter responses into questions and tables via the "Current Programs & Applications" tab.

โ“ Questions

The individual data entry fields used to construct custom narrative pages within a form.

๐Ÿ“„ View-only Form

A non-editable version of an applicant's responses, typically used for reviewing or generating a printable PDF.

๐Ÿ› ๏ธ Tracking & Reporting

Tools used to assess the state of an application and gather applicant data.

๐Ÿšฆ Status

An indicator of an applicationโ€™s current stage (e.g., "Received" or "Incomplete") within the system workflow.

๐Ÿ“ง Status Mailer
