📂 Understanding Programs
A Program acts as the high-level folder that holds your individual grant cycles. Setting these up correctly ensures your backend stays organized and your applicants see their opportunities in the right order.
🏗️ Step 1: Create a New Program
Go to the Grant Editor tab → Programs subtab.
Click the Add New Program button.
Enter your title in the Program Name field.
Choose a number from the Sequence dropdown. This determines the order in which the cycles of this program appear to your applicants.
Click Add. Your new program will now appear in your Program table.

An administrator navigates to the Grant Editor tab in the GO Smart portal to manage the list of grant programs. They scroll to the bottom of the existing list, click Add new Program, enter "New Program" in the name field, and select "5" from the Sequence dropdown menu. After clicking the Add button, a green banner confirms the "New Program Successfully Added," and the new entry appears in the program table.
💡 Tips:
Think of "Programs" as the bookshelf and "Cycles" as the books. Keep your bookshelf names clear so you don't accidentally put your 2026 "Community Grant" book on your "Individual Artists" shelf!
If you have many programs, use the Sequence tool strategically. Lower numbers (like 1 or 2) will appear at the top of your applicant's Grant Applications & Forms dashboard. View this tutorial for an in-depth breakdown of how program and cycle ordering work in GO Smart.
📝 Note: Program names are internal only. It helps you and your team identify the program in the backend; applicants will see the specific Cycle names instead.
✍️ Step 2: Edit an Existing Program
Need to fix a typo or update an internal name?
Go to the Grant Editor tab → Programs subtab.
Click the name of the program you want to change.
Scroll below the table to the Program Name text field and enter the new name.
Click Update to apply your changes.
🗑️ Step 3: Delete a Program
To protect your data, programs cannot be deleted instantly by admins. Follow this specific workflow to request a permanent removal:
Go to the Grant Editor tab → Programs subtab and click the program name.
In the Program Name field, add the suffix "- DELETE" to the end of the name (e.g., Youth Arts - DELETE).
Click Update.
Send a quick message to the GO Smart team to let them know which programs are ready to be removed from the system.
